Job Title: Export Shipping and Receiving Clerk

Job Summary: A Shipping and Receiving Clerk is responsible for managing incoming and outgoing shipments in a timely and efficient manner. This role involves coordinating with various departments to ensure accurate inventory management and adherence to shipping protocols.

Key Responsibilities:

  1. Shipping Functions:

    • Prepare outgoing shipments by packaging items securely, labeling packages, and arranging for transportation.
    • Verify shipping documents, including invoices, packing lists, and shipping labels, to ensure accuracy and compliance with regulations.
    • Coordinate with carriers and freight forwarders to schedule pickups and deliveries.
    • Generate shipping labels, bills of lading, and other required documentation using computer software.
    • Maintain records of outgoing shipments, including tracking information and delivery confirmation.
  2. Receiving Functions:

    • Receive incoming shipments, inspect contents for damage, and verify accuracy against purchase orders and packing slips.
    • Record receiving data, such as quantities received and discrepancies noted, in inventory management systems or databases.
    • Unload delivery trucks, move received items to appropriate storage locations, and distribute materials to designated departments or individuals.
    • Process returns and exchanges, including issuing return authorizations and coordinating with vendors or suppliers as necessary.
  3. Inventory Management:

    • Monitor inventory levels and update inventory records to reflect incoming and outgoing shipments.
    • Conduct periodic inventory counts and reconcile discrepancies between physical inventory and records.
    • Identify slow-moving or obsolete inventory items and recommend appropriate actions, such as reordering or liquidation.
    • Ensure compliance with inventory control procedures and security protocols to prevent loss or theft.
  4. Communication and Collaboration:

    • Communicate effectively with internal stakeholders, including purchasing, production, and sales teams, to coordinate shipping and receiving activities.
    • Respond to inquiries from vendors, carriers, and other external parties regarding shipment status, delivery schedules, and documentation requirements.
    • Collaborate with warehouse personnel to optimize storage space and streamline material handling processes.
    • Assist in resolving shipping and receiving-related issues or discrepancies, escalating complex problems to management when necessary.
  5. Safety and Compliance:

    • Adhere to safety guidelines and regulations while performing shipping and receiving tasks, including proper handling of hazardous materials and use of personal protective equipment.
    • Stay informed about shipping regulations, import/export laws, and industry best practices to ensure compliance with legal requirements.
    • Participate in training programs related to safety, security, and regulatory compliance as required.

Qualifications:

  • High school diploma or equivalent; additional education or training in logistics or supply chain management is a plus.
  • Proven experience in shipping, receiving, or warehouse operations, preferably in a manufacturing, distribution, or logistics environment.
  • Familiarity with shipping software, inventory management systems, and office productivity tools (e.g., Microsoft Excel, Word).
  • Strong organizational skills and attention to detail, with the ability to multitask and prioritize tasks effectively.
  • Excellent communication skills, both written and verbal, for interacting with colleagues, vendors, and carriers.
  • Physical stamina and the ability to lift and move heavy objects safely.
  • Problem-solving abilities and the capacity to work independently or as part of a team.
  • Knowledge of safety regulations and compliance standards related to shipping and receiving activities.
